Doctor-patient relations are based on mutual understanding. Do not hesitate to ask questions if something is not clear to you. Our office and medical equipment have been planned with much thought and care to provide quality medical service in a pleasant, efficient, and friendly atmosphere. If you have any suggestions or complaints regarding our services or fees, please tell us so that we may better serve you.


There is no "standard" office visit fee to cover all patient visits. In fact, there is a range of charges based upon certain well-defined criteria, which follow American Medical Association guidelines. Initial office visit fees tend to be higher than those for follow-up visits as additional administrative effort is required to establish a new patient file. Fees vary and are based upon the number and complexity of the presenting problems, extent of the physical exam performed, and the degree of decision making regarding diagnosis and treatment. Charges are not solely determined by the amount of time spent with the physician and may not be the same at each visit. If you have questions about your charges, please ask for an explanation.

For plans requiring a co-payment, it is expected at the time of your visit. We are providers for many managed care plans, but you will need to check with your insurance company to be certain that we participate in your particular plan. Additionally, if your plan requires you to obtain a referral from your primary care physician prior to seeing a specialist, you must bring it with you, or our office must have received it prior to your visit in order for you to be seen. If your visit has not been authorized, you have the option of rescheduling or signing a waiver making you financially responsible for the entire charge. This is your decision. Please remember that the specialist provider is only authorized to treat you for a specific number of visits over a specified period of time. 

We will submit claims to your insurance carriers. Any charges not covered will remain your responsibility. If there is a financial hardship, you may ask to arrange a payment plan. Questions regarding your bill may be discussed with our billing office at (413) 788-0532, 8 a.m. – 4 p.m., Monday through Friday.  


It is our office policy to require payment in full at the time of your visit for cosmetic consultations and procedures. You will be given a receipt that you may submit directly to your insurance company for reimbursement if your policy so provides. Payment may be made with cash, check, Discover, MasterCard and Visa.

Payments may be made by Cash, Check or Credit/Debit Card. We accept MasterCard, Visa & Discover Card. Payments can be made by phone with our business office (413) 788-0532, 8am - 4pm, Monday through Friday.  Contact our billing office to set up an account.  


Gift certificates may be purchased at any of our offices and The Spa at New England Dermatology and are valid for 7 years after the date of issuance. Gift certificates may be used toward New England Dermatology & Laser Center services, procedures and products sold. Gift Certificates may not be redeemed for cash.

Self-pay balances are due within 30 days. Failure to respond to bills within 60 days may result in discharge from the practice, cancellation of future appointments, and transfer of the account to a collection agency which would have a negative effect on your credit.


Patients’ who “no show” or do not give a 24 hour cancellation notice may be charged a $25.00 fee for their missed appointment. Those who repetitively fail to honor their appointments or do not pay the “missed $25.00” charge may be discharged from the practice.

New England Dermatology & Laser Center makes every attempt to ensure the security and privacy of your personal information. In our effort to protect your personal information, we use Secure Sockets Layer (SSL) technology with 256 bit encryption. If your browser supports SSL (most current browsers do), it will automatically encrypt the information you provide to us on the secure pages on our site, before sending it over the Internet. New England Dermatology & Laser Center has obtained a digital certificate from Network Solutions. Additionally, we have contracted with for our financial transactions to ensure your protection.

When visiting a page on our site that includes any of your personal information, the browser address bar will turn green and your browser window will display an icon of a closed lock or an unbroken key (depending upon your browser). This indicates that you have successfully connected with our secure server. To authenticate the security of your connection before submitting any of your personal information, you can double click on the icon to display our digital certificate.

In order for payment to be accurately applied, it is necessary that we collect limited patient account information at the time of online transactions including patient name, date of birth, telephone number (to allow us to contact you regarding your payment if necessary), patient account number (if known) and invoice number (if applicable). To expedite payment and identify who you are, we suggest that you register and log-in when you visit our site to make your initial online payment. This allows you to verify information that is uniquely yours, rather than re-entering your identifying information each time you make an online payment. This information will not be sold to third parties. You can updated this information at any time by logging in, updating and saving the changed information. New England Dermatology & Laser Center maintains special relationships with a number of secure business partners. For your security or benefit, when you make a payment, we may share information about you and the transaction with other companies for many reasons including verification, fraud prevention and credit card authorization purposes.

Periodically, we may send information regarding services or products that may be of benefit to you. For any patient receiving cosmetic treatments or treatments not covered by insurance, the estimated cost of treatments will be discussed prior to undergoing procedure.
Unfortunately, no assurances or guarantees can be given regarding an individual’s response to treatment for cosmetic procedures. As every patient has a different anatomy, sometimes the correction is less than what he or she had expected or wanes quicker than expected. Treatment may be more or less than the estimate depending on the treatment needed for correction. Additional treatments may be required to try to meet the patient’s expectations. Please call our office at (413) 733-9600 to be seen for follow-up should any of these concerns arise.

Refunds for co-payments, treatment or services already provided are not granted. If you feel you have been incorrectly charged, please call our billing office at (413) 788-0532. If, after speaking with us, you dispute the charge, you must send a written billing error notice to New England Dermatology & Laser Center 3455 Main St., Ste. 5 Springfield, MA 01107. Your notice must reach us within 60 days after the first bill containing the error was mailed to you. The notice should include your name and account number, the dollar amount of the billing error, and the reasons why you believe there is a mistake. We will acknowledge your complaint in writing within 30 days after it is received, unless the problem is resolved within that period. Within two billing cycles (but not more than 90 days), we will conduct a reasonable investigation and either correct the mistake or explain why the bill is believed to be correct.

If a refund is in order, it will be processed via the same method as the original payment or, at the Company’s* discretion, a check may be issued to you. If payment was made by credit card, we will credit your account. While every effort is made to provide refunds in a timely fashion, your financial institution may take several days to reflect refund transactions. Please allow 7-10 days for a credit to appear on your credit card statement. If payment was made by check, the refund check will be issued within 30 business days from the date of purchase.
